Guides and how-tos

Short walkthroughs for guests booking a transfer, chauffeurs working the day's board, and operator teams running their company portal.

For guests

Booking, meeting your chauffeur and changing plans.

Book a transfer in four steps

The whole flow takes about a minute and needs no account.

  1. 1Open the booking page and choose the resort, airport terminal, FBO or address the trip starts from.
  2. 2Pick your trip type, then tap the pick-up and drop-off fields to choose from the properties network or type a private address.
  3. 3Set the date and a time in 12-hour format, then use the steppers for passengers and luggage.
  4. 4Choose the vehicle that fits your party from the live availability cards, add your details and send the request. Your booking number appears immediately.

Follow a flight and meet your chauffeur

Attach the flight number so dispatch watches the real arrival, not the timetable.

  1. 1Add the flight number on the booking form when you book an airport transfer.
  2. 2Dispatch sees the flight on the live board with its route, estimated arrival, gate and terminal.
  3. 3If the arrival time or gate changes, the reservation is updated and the chauffeur is rescheduled to the new landing time.
  4. 4Your chauffeur taps check-in on reaching the meeting point, which tells dispatch they are in position.

Change or cancel a booking

Changes are handled by the company operating your transfer.

  1. 1Have your booking number ready, and the date and time of the trip.
  2. 2Call the operator’s dispatch line, or answer the confirmation e-mail you received.
  3. 3Give as much notice as you can: cancellations and waiting time follow that company’s own policy.
  4. 4If the change is accepted, dispatch updates the reservation on the board so the assigned chauffeur picks up the new details.

If your chauffeur is delayed

Traffic, bridges and cruise-ship days all affect island drive times.

  1. 1Check your booking confirmation for the chauffeur or vehicle assigned to your run.
  2. 2Call the operator’s dispatch line: they can see the vehicle’s live position on the board.
  3. 3If the delay is on the road, dispatch will tell you the new pick-up time rather than leave you waiting.
  4. 4For long airport or event pick-ups, an hourly charter gives the chauffeur a window instead of a single time.

For chauffeurs

Running the day’s board from the driver app.

Start your run in the driver app

One tap tells dispatch you have arrived.

  1. 1Sign in with the account your company manager invited you with.
  2. 2Check the day’s runs: pick-up time, guest, flight or property, and the assigned vehicle.
  3. 3Tap check-in when you reach the meeting point. The app stamps the time and your GPS position onto the reservation.
  4. 4Move the run through en route, arrived and completed as the trip progresses so dispatch and the guest see the live status.
Open the driver app

Keep the app working on your phone

The app is built for a phone in a cradle.

  1. 1Allow location access so check-in can record where you are.
  2. 2Keep the app open during a run, or added to your home screen, so alerts reach you.
  3. 3Turn the phone’s media volume up: new runs and urgent broadcasts arrive as a chime and a bell.
  4. 4Keep the battery topped up on long airport days.
Install the apps

Report a hold, delay or traffic problem

Dispatch can only reroute what it knows about.

  1. 1Open the run in the driver app and update its status.
  2. 2Send a message to the dispatch board describing the hold and where you are.
  3. 3Dispatch can move the run to another vehicle or shift later pick-ups on the calendar.
  4. 4Urgent company-wide notices arrive on your phone as a broadcast you acknowledge in the app.

For operator teams

Managing a company portal: board, fleet, rates and invoices.

Work the live dispatch board

The board is the operational centre of the portal.

  1. 1Sign in and open your company portal. Owners, dispatchers and reservationists each land on their own tools.
  2. 2Use the board and calendar to see today’s and tomorrow’s runs, with flights attached to airport bookings.
  3. 3Assign a vehicle and chauffeur to each run, then track its status as the chauffeur checks in and completes it.
  4. 4Use the broadcast tool for company-wide notices; drivers acknowledge them on their phones.

Add vehicles, photos and hotel rates

Rates drive the prices guests see in the booking wizard.

  1. 1Open the fleet manager and add each vehicle: name, make, model, year, colour, plate, category and seating capacities.
  2. 2Set a base price and an hourly rate for the vehicle.
  3. 3Add per-hotel rates for properties you serve differently, so the right price appears for that resort.
  4. 4Upload a photograph per vehicle: it appears on the availability cards guests choose from.

Set up local staff and access levels

Managers invite their own team; the platform does not share accounts.

  1. 1Open the staff panel in your portal.
  2. 2Invite each team member by e-mail and choose their role: company owner, dispatcher, reservationist or driver.
  3. 3Link a driver account to its roster profile so the chauffeur app finds the right runs.
  4. 4Remove or change access from the same panel as your team changes.

Invoice a run and record payment

Keep the company ledger accurate once a trip is completed.

  1. 1Open the invoices manager and raise an invoice against the completed reservation.
  2. 2Send it to the client, and use the invoice statuses for draft, sent, paid and overdue.
  3. 3Record payment against the run so the reservation shows as paid with its reference.
  4. 4Corporate clients on a tier can be invoiced on their agreed terms instead of paying per trip.
